# Prepare boxes and items

Create GLS boxes, maintain item dimensions and weights correctly and define packing rules per item and item category.

How well the app builds packages depends on your master data. With properly maintained boxes, dimensions and weights, you get realistic package suggestions and avoid rejections during upload.

## Create boxes

### With the wizard

1. Open **Assisted Setup** and choose **Create GLS boxes**.
2. Enter your boxes in the **GLS Box Setup** window.
3. Complete the wizard and check the **GLS Boxes** list.

### Directly in the list

1. Open **GLS Boxes**, for example from the Order Processor role center.
2. Create a new entry. The **GLS Box** card opens.
3. Fill in the fields.

| Field                                                | Meaning                                         |
| ---------------------------------------------------- | ----------------------------------------------- |
| **Code**                                             | Short code, e.g. BOX-M                          |
| **Description**                                      | Plain-text description for selection            |
| **Length**, **Width**, **Height** | Box dimensions for package planning |
| **Dimension UOM** | Unit of the dimensions |
| **Max Weight (kg)** | Weight limit for this box |
| **GLS Product** | GLS product associated with this box |
| Inventory item, inventory unit of measure (optional) | For posting inventory consumption of used boxes |

An inventory item is not required. Only specify one if you want to reflect box consumption in inventory. If the inventory reduction fails after shipping, you receive a message and can trigger it again on the package card with **Retry Box Inventory Reduction**.

## Maintain items

### Dimensions and weights

* Maintain dimensions and weights **primarily on the item units of measure**. That is where the quantity per unit of measure is taken into account.
* The older GLS length, width and height fields on the item card are legacy fallback fields in centimeters. Use them only if no values exist on the item units of measure.
* You define which weight is used in the configuration under **Package Weight Source**: **Net Weight**, **Gross Weight** or **Item Unit of Measure**.

{% hint style="warning" %}
If values are missing, the app uses fallback values. Before shipping, therefore check the actual package weight on the package card, especially for new items.
{% endhint %}

### GLS shipping on the item card

| Field                         | Effect                                                                 |
| ----------------------------- | ---------------------------------------------------------------------- |
| **GLS Package Separately** | The item is placed in its own package |
| **GLS Max. Qty. per Package** | Maximum quantity of this item per package; 0 means no additional limit |

### Preferred box per item category

On the item category, use **Preferred GLS Box Code** to define which box is suggested for items in this category. If you explicitly choose a different box when packing, your selection takes precedence.

## Set the units correctly

The configuration contains **Dimension Unit** (cm, mm, m) and **Weight Unit** (kg, g). They must match the numbers you maintain. Spot-check as follows:

1. Open a typical item and note its weight and dimensions.
2. Compare them with the configured unit.
3. In the sandbox, create packages with **Smart Packing** and check the calculated package weight.

## Weight limits

Package planning uses the maximum weight of the selected box or the **Default Max Package Weight (kg)**. Before upload, the app additionally checks a fixed upper limit of 40 kg per package as well as the box maximums. Check with GLS which maximum weight your GLS contract actually allows.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://docs.solutioo.de/gls-connector/gls-connector_en_us/setup/boxes-and-items.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
