# Tariffs and Shipping Costs

Import your own GLS tariffs from the Excel template, validate and activate them, and run local test calculations of shipping costs.

Tariff administration lets you store your GLS terms in Business Central and calculate shipping costs locally. This helps with costing and cost control. The calculation is **not a live quote from GLS and not a GLS invoice**.

## Prerequisites

* The **GLS Tariff Administrator** permission set for import and activation.
* The **GLS Tariff Calculation User** permission set for users who only run calculations.
* Your tariff data in the app's Excel template (.xlsx). PDF price lists and CSV files cannot be imported.

## Getting started

* In **GLS Configuration**, use **GLS Tariffs** or **Import Tariff**.
* The **GLS Tariffs** list provides **Import Workbook**, **Download Empty Template**, **Import Batches** and **Test Calculation**.

## Step 1: Download and fill in the template

1. In **GLS Tariffs**, choose **Download Empty Template**. Suggested file name: SOUGLS\_Tariff\_Template.
2. Fill in the sheets. Do not change the sheet names or column headings.

| Sheet         | Content                                                    | Data rows                          |
| ------------- | ---------------------------------------------------------- | ---------------------------------- |
| PRICE\_LISTS  | Price list, currency, validity; TemplateVersion 1 in row 2 | required                           |
| PRODUCTS | Products of the tariff | required |
| ZONES         | Zones                                                      | required                           |
| DESTINATIONS | Assignment of destinations to zones | required |
| RATES | Rates per zone and weight range | required |
| SURCHARGES | Surcharges | optional, headings must be present |
| INDEX\_VALUES | Index values                                               | optional, headings must be present |

Follow the template for date, number and option values. Arbitrary Excel structures and original GLS price lists are not recognized automatically.

## Step 2: Import

1. Choose **Import Workbook** and select the completed file.
2. The app creates an **import batch** and validates it.
3. The batch then has the status **Imported** or **Error**. This does not activate the tariff yet.

**If the status is Error:** In **GLS Tariff Import Batches**, open **Imported Lines**. There you can see the sheet, row, column and error text. Correct the Excel file and import it again.

## Step 3: Validate and activate

1. Open **Import Batches** and select the batch.
2. Choose **Validate and Activate**. The data is validated again; if errors are found, the process stops.
3. Check the tariff on the **GLS Tariff** card using **Zones**, **Destination Rules**, **Rates**, **Charges** and **Index Values**.

The tariff card also provides **Validate** and **Activate**. The checks cover, among other things, the currency, valid-from and valid-to dates, products, zone scheme, destination rules, rates, volume divisor and overlapping weight ranges.

{% hint style="danger" %}
Applying an import batch **replaces** the existing tariff details of the same tariff code. On activation, other active tariffs with the same contract reference and origin location are archived if their validity periods overlap. The data is not merged. Keep your previous tariff workbooks and back up any tariff data you need before applying a batch.
{% endhint %}

## Step 4: Test calculation

1. Choose **Test Calculation**. The **Test GLS Rate** page opens.
2. Enter the product/service code, contract reference, shipment date, origin location, destination country and destination post code, actual weight, dimensions and number of identical packages. If there is exactly one active tariff, the contract reference and origin are suggested.
3. Choose **Calculate**.

The result shows the tariff and zone, the actual weight, volumetric weight and chargeable weight, the applied price components and any skipped mandatory charges. Review skipped charges with particular care, because they are missing from the total.

## What the tariff calculation does not do

* It does not request prices from GLS.
* The contract reference is used only to select the local tariff and is not transmitted to GLS.
* It does not compare carriers and does not select the cheapest carrier.

Your GLS invoice remains authoritative for your costs.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://docs.solutioo.de/gls-connector/gls-connector_en_us/setup/tariffs-and-shipping-costs.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
